Delivered for the Punjab Land Records Authority: archiving and indexing of missing deeds. Read the project
Land records we digitize
Each record type has its own seals, endorsements and index fields. We prepare and capture them accordingly.
Sale deeds and registries
Registered deeds with stamps, seals and endorsements kept legible, indexed to the deed number and parties.
Mutation (intiqal) records
Mutation entries and orders linked to the khasra and khewat they change.
Jamabandi and fard
Revenue registers and ownership extracts captured with columns intact and keyed on critical fields.
Khasra and khewat registers
Bound registers scanned on overhead equipment, without cutting the binding.
Maps and shajra
Cadastral maps and mutation sheets up to A0 on large format scanners.
Society and development files
Allotment, transfer and plot files for housing societies and development authorities.
Indexed the way land staff actually search
A scanned archive with the wrong index is still an unusable archive. We agree the index schema with you before any page is captured.
| Record | Typical index fields | Handling note |
|---|---|---|
| Sale deed | Deed number, date, seller, buyer, property description | Colour capture where stamps and seals carry legal meaning |
| Mutation | Mutation number, khasra, khewat, date, parties | Linked to the related deed where one exists |
| Jamabandi / fard | Khewat, khasra, owner name, area, year | Handwritten Urdu keyed with double entry on critical fields |
| Registers | Volume, page range, register type, year | Overhead capture, binding left intact |
| Maps and sheets | Mauza, sheet number, scale, year | Scanned up to A0 on dedicated equipment |

How a land records project runs
Site survey and scope
We visit the record room, count volume, check condition and binding types, and give you a written scope, index schema, timeline and fixed cost.
Collection and chain of custody
Boxes and files are barcoded and logged before they move. Where records cannot leave the building, we work on-site under your supervision.
Preparation and scanning
Fasteners removed, tears repaired, sheets flattened, then captured on sheet-fed, flatbed, overhead or large-format equipment as the document needs. See document scanning.
Independent quality control
A second operator reconciles page counts against the physical file and sends failed pages back for rescanning.
Indexing, delivery and return
Index data is delivered as a loadable file or loaded into your EDMS. Originals are re-assembled in order and returned, stored or destroyed on your written instruction.
Built for records under statutory custody
On-site scanning
- Teams and scanners deployed at your record room
- Nothing transported, work under your supervision
- Files back on the shelf the same working day
Confidentiality
- Signed NDA before any record is touched
- Individual undertakings from every operator
- No removable media or personal devices in the work area
Land records digitization FAQs
Can you digitize records without them leaving our office?
Yes. We deploy scanning teams and equipment at your location and work under your supervision. This is the usual route for land record rooms and anything under statutory custody. A hybrid split is common: active records on-site, dormant bulk at our facility.
Do you handle handwritten Urdu registers?
Yes. Handwritten Urdu is keyed by trained operators with double entry on critical fields, because OCR is not reliable on it. Entries that cannot be read go into an exception register instead of being guessed.
What does land records digitization cost in Pakistan?
Cost depends on page volume, document size and condition, the number of index fields, and on-site or off-site work. We quote a fixed project cost after the free site survey, not before seeing the archive.
What happens to the original deeds and registers?
Whatever you instruct in writing. For land and revenue records, originals are almost always returned. They can also go into managed storage or secure destruction with a certificate.
Can the data go into our existing land records system?
Yes. We deliver images and index data in the format your system accepts, such as CSV, XML, a SQL load, or direct entry on named accounts you control.
Do you work with government departments and tenders?
Yes. We have completed archive projects for a provincial land authority, a high court and a state insurer. Capability statements and project references are available on request.
